Vacant Unit Cleaning: When to Book It Between Tenants

A vacant unit still has several jobs to finish before handover.

The cleaner has an opening Wednesday. The painter is booked Thursday, and the new tenant gets the keys Friday. Wednesday looks convenient until Thursday’s sanding dust lands on a floor you just paid to clean.

Book the full-unit clean after the last job that makes a mess, once the rooms and access are ready, and leave time to check the work before the next tenant arrives. Keep the outgoing and incoming condition inspections on their own tenancy timetable. If one room is still under repair, decide whether a limited scope is worthwhile with your cleaner or change the visit.

Keep the condition inspection on its own timetable

In BC, the outgoing condition inspection is a landlord-and-tenant record. The Residential Tenancy Act places it on or after the day the tenant stops occupying the unit, before a new tenant moves in, or on another mutually agreed day. The regulation normally calls for an empty unit unless the parties agree on another time. Keep that date tied to the tenancy process, even when a cleaner has an earlier opening.

A wall mark shows why sequence matters. Record its location and condition before sanding or washing changes it, then compare it with the move-in report. The same Act says a departing tenant must leave the unit reasonably clean, apart from reasonable wear and tear. If deposit deductions are being considered, base that decision on the condition evidence and tenancy rules.

One apartment, three kinds of work

A marked wall may need a condition note. A loose cupboard hinge needs maintenance. Kitchen surfaces may need cleaning. If all three land in a request for “a move-out clean,” nobody knows which problem the appointment is supposed to solve. Give each issue its own lane.

Illustrated rental handover routing: record a marked wall in the condition report, send a loose cupboard hinge to maintenance, and place kitchen surfaces in the cleaning brief. Inspection timing remains separate from the cleaning booking.

Route each issue to the right owner: condition record, maintenance, or cleaning scope. Keep the inspection timetable separate.

Pick the slot by what is still unfinished

Start with the last dusty or disruptive task, then work forward to the incoming handover. A “finished” room is one a cleaner can enter and work in without another trade immediately undoing the result. Choose the slot based on what remains unfinished:

  • Book the full unit: the unit is vacant or access is lawfully arranged, debris-producing work is done, water and power are available, and the rooms and surfaces have been agreed.

  • Discuss a limited scope: one room is still with a trade but the other rooms can be finished without re-entry. Confirm with the cleaner whether that division is workable because partial scopes and return visits depend on the booking.

  • Change the date: possession, building access or the repair finish time is uncertain. Move the booking until access and the work sequence are reliable.

Illustrated vacancy timeline comparing a Wednesday clean followed by Thursday sanding and Friday keys with the better order: finish dusty work, confirm scope, then complete the final clean. Condition inspections stay on their own timeline.

A Wednesday opening is no bargain if Thursday’s sanding dirties finished rooms. This illustrative calendar shows the decision; actual access and inspection timing depend on the tenancy.

In a condo, check the building’s actual access arrangements as well as the unit door. A booked elevator or key handoff may affect the window, but rules differ by building. If the outgoing tenancy is still in progress, confirm lawful entry under the Act before arranging the cleaning visit.

Send one brief that survives a shift change

A booking note is useful when the person confirming the job is not the person opening the door. Name the unit type and rooms, the earliest confirmed access time, who holds the key, what work is complete, what is excluded for repair, and who can answer a scope question on site.

A practical brief might read: “Two-bedroom condo; painting completion to be confirmed Thursday; next tenant takes possession Friday. Kitchen surfaces, bathrooms and floors requested. Please confirm whether the oven interior is within scope. Loose cupboard hinge is with maintenance. Building access contact: property manager.” It tells the cleaner what to assess and tells the manager what still needs a decision.

Check the clean, then complete the incoming inspection

A clean surface can hide a loose hinge; a repaired wall can still have paint dust. Review the completed cleaning against the agreed brief, then keep open repairs on their own list. The incoming condition inspection is the landlord-and-tenant record under BC’s tenancy rules, completed on the day the new tenant is entitled to possession or another mutually agreed day. Record the unit’s condition there and keep the cleaner’s completion note with the service documents.

When the unit is ready for a cleaning window, review Halo’s Move-In / Move-Out Cleaning Service and request a booking. Share the unit type, timing, access and areas to assess. The team confirms the requested appointment and scope.
